24-Hour Cancellation Policy:
We have a strict 24-hour cancellation policy to respect our instructors' time, and to cater to clients hoping to get in. Cancellations within 24 hours of your session will incur a full session charge.
One- Strike Rule: You are allowed one late cancellation every 12 months (for any reason, including illness, weather, or emergencies). After your second strike is used, any future cancellations after 24 hours will incur the full session fee, regardless of the reason. Consider these your "get out of jail free cards", you must notify your instructor when you want to use it, and we will make a note on your profile.
Rescheduling protocol: Rescheduling with less than 24hrs is considered a late cancel. However, if you wish to use your strike, you are welcome to do so, so long as you reschedule within one week of the late canceled appointment. Availability is not guaranteed, and in the case that you can't find a time on your instructor's books you can request a refund or for the credit to be added back to your account, but both options (rescheduling or refunding) use your one strike. Otherwise, outside of the above parameters, 'rescheduling' is considered a late cancel.
If you are sick, please be respectful: If you're feeling unwell, please refrain from coming in and late cancel or use you strike to reschedule for a later date when you're feeling better. We encourage proactive planning: if you know you are sick, and not sure whether you’ll be better by your session date - please cancel with at least 24 hours' notice. This gives your instructor time to fill the spot, and it helps you avoid the late-cancel fee or having to use your strike. If you're feeling better, contact your instructor directly to see if the session is still available, and they may be able to rebook you for the same slot if it's still open.
Remember, virtual training is always an option if you want to avoid being late canceled, or having to use your strike. Just be sure to notify your instructor as soon as possible so they can plan accordingly. If you’re unsure whether you’re getting sick, please reach out to your instructor to discuss whether they’d be comfortable with you attending while wearing a mask. We have both instructors and clients who are at higher risk, so we ask that you be mindful of their safety and well-being.
Snow and Inclement Weather Policy:
We understand that weather conditions can be unpredictable in Colorado, and we ask that clients monitor the forecast closely. We have a 12-hour cancellation policy for weather related cancellations. If you foresee difficulty making it to the studio, please take action by choosing one of two options below, try not to wait until the day of your appointment to make a decision.
Option #1: Switch to a virtual session (the prefered method)
Option #2 Cancel within our 12-hour cancellation window to avoid a full cancellation charge. You must contact your instructor to make this change because our system is auto-setup for a 24 hour window cut-off.
If the studio or instructor cancels due to weather, no charge will apply. If the instructor must cancel due to unsafe travel conditions, you will be notified as soon as possible and your session will be refunded or returned to your package on file. We keep a close eye on the weather and try to give our clients as much notice as we can.
Instructor communication:
We deeply respect our instructors' personal time, and encourage our instructors to create boundaries in order to maintain work life balance. If you reach out via email, text, or phone outside of their set studio hours, please understand you may not hear back until they return to the studio.
